Terms and Conditions for Hart Spaces Retreat Guests
Welcome to Hart Spaces! We’re delighted to welcome you to our retreat. Before confirming your booking, please carefully review the terms and conditions below. Your agreement to these terms is required to complete the booking process.
1. This Booking is a Contract
By booking a retreat with Hart Spaces, you confirm that you have read, understood, and agreed to these terms and conditions. If you are booking on behalf of multiple guests, you confirm that all travelers in your booking have also read and agreed to these terms.
2. Payment and Deposit
A non-refundable deposit is required to secure your booking.
Full payment must be received at least 35 days prior to the retreat start date.
Failure to pay the balance by the due date may result in cancellation of your booking, and your deposit will be forfeited.
3. Guest Cancellation Policy
All payments made are non-refundable.
If you choose to leave the retreat early, no refunds will be issued.
4. Cancellation by Hart Spaces
In the unlikely event that we need to cancel a retreat, you will receive a full refund.
Hart Spaces is not liable for additional costs incurred by guests, such as travel expenses or visa fees.
5. Passports, Visas, and Flights
You are responsible for ensuring you have valid travel documents, including passports and visas, where applicable.
While we may assist with flight recommendations, all flight bookings and associated costs are your responsibility.
Hart Spaces is not liable for issues arising from incomplete or invalid travel documents, including denied entry to the destination country.
6. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance to cover cancellations, medical emergencies, and other unforeseen events.
Hart Spaces accepts no responsibility for losses or costs arising from failure to secure adequate insurance.
7. Roommate Requests
Solo travelers wishing to share accommodations may request a roommate. We will make reasonable efforts to match guests but cannot guarantee availability.
8. Retreat Schedule and Activities
The retreat webpage outlines the activities and services included in your package. Optional activities are not included in the retreat price and may incur additional costs.
Schedules, activities, and instructors are subject to change without notice.
9. Right to Decline Bookings
Hart Spaces reserves the right to decline any booking prior to the retreat start date. In such cases, a full refund will be provided.
10. Photography and Videography
We may take photographs or videos during the retreat for promotional purposes. If you prefer not to appear in such materials, please notify us in writing before the retreat begins.
11. Assumption of Risk
By participating in the retreat, you acknowledge and accept the inherent risks associated with travel, outdoor activities, and wellness programs.
You are responsible for your own safety and agree to assume financial responsibility for injuries or damages caused by your actions.
12. Limitation of Liability
Hart Spaces and its affiliates are not liable for any injury, loss, or damage sustained during your participation in the retreat.
By booking, you release Hart Spaces from any claims arising from your participation, except where caused by our negligence.
13. Privacy Policy
We collect and process personal data in accordance with the UK General Data Protection Regulation (UK GDPR). Your data will only be used to operate the retreat and inform you about future events.
14. Food Allergies and Dietary Requirements
While we strive to accommodate dietary preferences and allergies, we cannot guarantee a completely allergen-free environment.
By participating, you assume the risk and release Hart Spaces from liability related to food allergies.
15. Changes to Terms and Conditions
Hart Spaces reserves the right to amend these terms and conditions at any time. Changes will be communicated to guests in writing.
16. Waiver and Release
By attending a Hart Spaces retreat, you agree to the following:
To waive and release Hart Spaces and its representatives from any claims, liabilities, or damages related to your participation.
To affirm that you are physically and emotionally fit to attend the retreat and will seek medical advice if necessary.
To follow all safety guidelines provided by retreat staff.
To accept that disruptive behavior may result in your removal from the retreat without a refund.
By confirming your booking, you agree to abide by these terms and conditions and affirm your understanding of the above policies.
